What data we collect and why

When you sign up for a ride

We collect the following information to manage ride logistics:

  • Road name — your primary identifier, displayed publicly on the sign-up list for the ride you're joining
  • Real name (optional) — for ride leader contact only, not displayed publicly
  • Bike — displayed publicly on the sign-up list
  • Mobile number — used to send ride confirmations and reminders via WhatsApp (if you opt in), and for emergency contact purposes
  • Email address — used to send a sign-up confirmation and any ride updates
  • Emergency contact — shared with the ride leader for safety purposes only
  • Ride preferences (start point, 2nd man familiarity, tail-end Charlie willingness) — used for ride planning
  • Dietary requirements — shared with the ride leader for café stop planning

Lawful basis

We process your personal data on the basis of consent (for public display of your road name and bike on the sign-up list) and legitimate interests (for ride administration, safety, and communications necessary to run the ride).

What is displayed publicly

The following information is visible to anyone on the internet on the ride detail page:

  • Road name
  • Chapter
  • Bike model
  • Start point preference
  • Whether you are bringing a pillion or guest
  • Whether you are willing to be tail-end Charlie

Your real name, contact details, emergency contact, and dietary requirements are never displayed publicly.

How long we keep your data

Sign-up records are retained for as long as the club operates this system. Ride history is kept for statistical and record-keeping purposes. If you ask us to remove your data, we will do so within a reasonable timeframe.

Your rights

Under UK GDPR you have the right to:

  • Access — request a copy of the data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — ask us to delete your data ("right to be forgotten")
  • Restriction — ask us to stop displaying your name publicly while keeping your sign-up record
  • Withdraw consent — you can ask us to hide your name from the public sign-up list at any time

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

Members who signed up before this policy

If you signed up for rides before this privacy policy was published (13 March 2026), your data was processed for club administration purposes under legitimate interests. You can request removal of your data at any time by contacting us at the address above.

This site uses a single session cookie (strictly necessary) to keep you logged in if you are an admin. No tracking cookies, analytics, or advertising cookies are used.
